PREAMBLE
The Neurocare Association appoints Aspro Advertising S.R.L. as the Organizing Agency of the event entitled “Neurocare Conferences”, 2nd Edition, to be held during May 14–16, 2026, in Bucharest, assigning it responsibilities related to the coordination and delivery of the Event.

Terms and Conditions for Participation in Events Organized by ASPRO ADVERTISING S.R.L.
These are the terms and conditions (the “Agreement”) governing your participation in any events, meetings, seminars or conferences organized by Aspro Advertising S.R.L., acting as logistics organizer and operator.

By registering for an Onsite, Online and/or Hybrid Event, you accept these terms, which form the contractual relationship between the event organizer, Aspro Advertising S.R.L. (CUI RO33062662, Trade Register no. J40/4620/2014, registered office: Bucharest, Sos. Alexandria no. 20, bl. L6, stair B, 10th floor, ap. 78, Sector 5, postal code 051526) and you, as participant (“You” or the “Participant”).
If you register on behalf of another person, it is your responsibility to ensure that such person is informed of and accepts these terms. By completing registration on behalf of another person, you warrant that you have informed the participant of these terms and that they have accepted them as such.

1. Participant Requirements
1.1 Access
Registration grants you access to the Online or Hybrid Event distributed through the platform made available by the Organizer, or to the Onsite or Hybrid Event for which you registered via the Organizer’s platforms. Any other costs associated with your participation that are not included in the participation fee, as detailed, shall be borne entirely by you, and Aspro Advertising S.R.L. shall bear no liability in this respect.
You are granted access to the Event and, depending on the specific options of the professional organizing body, to the Event recording for a limited period of time, under one of the following capacities:
a) Audience participants – physicians and healthcare professionals of various specialties and professional or academic levels, or specialists from other professional categories, who must register and pay the participation fee to access scientific presentations (without delivering presentations);
b) Presenting participants – specialists in the medical field or other professional categories who submit scientific abstracts and who, following evaluation by a Scientific Committee, may be granted the right to present their abstracts either free of charge or upon payment of the participation fee;
c) Invited speakers – recognized specialists in the medical field or other professional categories who deliver scientific presentations and for whom access is most often granted free of charge;
d) Exhibitors – entities participating in the exhibition area managed by Aspro Advertising S.R.L. – Symposia & Exhibitions.

1.2 Certificate of Participation
Where the Event grants Continuing Medical Education credits (CME, CPD or other equivalent forms), only participants who physically attend the scientific sessions of the Event shall be eligible to receive the corresponding CME certificate.
The person completing the registration is required to ensure that all physicians registered through them physically attend the Event.
Where registration is completed on behalf of another person, the registering person is responsible for properly informing the participant of this obligation.
Where a participant registers individually, without an intermediary, this condition is deemed accepted upon completion of the registration form.
Physical attendance is mandatory for onsite Events in order to receive the CME certificate and is monitored daily by scanning the participant badge. Registration and access are granted based on a valid identity document (identity card or passport), and refusal to present such document may result in restricted access.

1.3 Use of Image
By participating in the Event, you acknowledge and agree to grant Aspro Advertising S.R.L. the right to record, livestream, photograph and capture your image on any media platform currently available or developed in the future, and to distribute, broadcast, use or otherwise disseminate such material worldwide, in perpetuity, without any further approval from you and without any compensation being owed to you.
This permission includes, without limitation, the right to edit the media material individually or together with other information, as well as the right to allow third parties to use or disseminate it.

1.4 Event Content
You acknowledge and agree that Aspro Advertising S.R.L., with full authority, reserves the right to modify any and all aspects of an Event, including but not limited to: the Event name, themes, content, program, speakers, lecturers, hosts, moderators, platform and schedule.
If the Event is recorded by Aspro Advertising S.R.L., it may become accessible to registered paying participants.

 

2. Prohibited Conduct
2.1 Limitation of Use
By registering for an Event organized by Aspro Advertising S.R.L., you agree not to sell, trade, transfer or share your access link and/or code, unless such transfer is expressly approved by the Organizer.
By registering for a paid Event, you agree not to share, sell or trade access. If Aspro Advertising S.R.L. determines that this policy has been violated, it may cancel your access, retain any payments made, report the matter to law enforcement authorities and restrict your access to future Events.
2.2 Disruptive Behavior
You acknowledge and agree that Aspro Advertising S.R.L. reserves the right to remove you from an Online or Hybrid Event if, at its sole discretion, your participation or behavior disrupts the Event or prevents other participants from properly accessing the Event content.
2.3 Recording and Live Distribution
Participants of any kind are prohibited from making audio or video recordings or broadcasts of sessions at Online, Onsite or Hybrid Events organized by Aspro Advertising S.R.L.
2.4 Unethical or Non-compliant Commercial Practices
Aspro Advertising S.R.L. reserves the right to refuse participation to any person who engages in or has a reputation for engaging in unethical or non-compliant commercial practices.
2.5 In addition to the requirements and prohibitions set out in this Section 2, Aspro Advertising S.R.L. may also exclude any potential participant from registration or participation in any Online or Hybrid Event, at its sole discretion.

3. Fees, Registration and Payment Processing
3.1 Payment Payment of the applicable participation fee is due upon registration. If payment is insufficient or declined for any reason, Aspro Advertising S.R.L. may deny access to the Event.
3.2 Taxes Fees may be subject to value-added tax (VAT), which, where applicable, shall be charged in addition to the participation fee.
3.3 Payment Processing
ASPRO ADVERTISING S.R.L., having its registered office in Bucharest, Sos. Alexandria no. 20, bl. L6, stair B, 10th floor, ap. 78, Sector 5, postal code 051526, registered with the Trade Register under no. J40/4620/2014, CUI RO33062662, acts as organizer of the Event organized for and on behalf of the Neurocare Association and is responsible for the logistical, administrative coordination and delivery of the Events, including the collection of participation fees.
Participation fees may be paid:
by bank transfer to the account indicated in the registration form specific to each Event; or
online, by bank card, using the Stripe payment processor.
ASPRO ADVERTISING S.R.L. does not store or have access to participants’ banking data, which are processed securely exclusively through the Stripe platform.
ASPRO ADVERTISING S.R.L. also reserves the right to authorize another company within its group – such as ASPRO THE AGENCY S.R.L. or ASPRO EVENTS S.R.L. – to collect participation fees, depending on the Event organized.

 

4. Quality of Services Provided
Aspro Advertising S.R.L. strives to provide the most productive and efficient educational experience possible. If, after participating in the Event, you believe there is a way in which we could improve our services, you are invited to submit your comments in writing.
As speakers are confirmed months in advance, changes to speakers or topics may occur. Aspro Advertising S.R.L. is not responsible for speaker changes but will endeavor to ensure that a comparable speaker is identified to participate in the program.

5. Registration Cancellation and Participation Fee Refund Policy
5.1 If a registered participant exercises their right to unilaterally withdraw from this adhesion contract by notifying the cancellation of registration to the official Event email address, and such notification is submitted at least 90 days prior to the Event start date, 50% of the participation fee shall be refunded. The remaining amount represents the mutually agreed estimated value of organizational efforts already made or to be made, which cannot be avoided or recovered.
5.2 If the cancellation notification is submitted less than 30 days prior to the Event start date, the participation fee shall no longer be refundable, as the nature of Event-specific organizational costs means such costs have already been incurred or contractually committed.
5.3 By way of exception to Sections 5.1 and 5.2, replacing a participant with another person not yet registered as a participant, notified via the official Event email address and who registers and pays the participation fee, entitles the withdrawing participant to a full refund if the replacement occurs at least 30 days prior to the Event start date, or to a 75% refund if the replacement occurs later, but no more than 20 days prior to the Event start date.
5.4 Where the replacement participant falls within a category subject to a lower participation fee, the difference between the two fee levels and any banking commissions related to the refunded amount shall be deducted, so that the Organizer does not ultimately collect a lower participation fee than would have been collected absent the replacement.
5.5 In the event of cancellation or postponement of the Event due to causes not attributable to the Organizer, the participant or any third party, but qualifying as fortuitous events or force majeure as defined by the Civil Code, or where the participant is unable to attend due to such causes, the participant may opt to carry forward the participation fee to a rescheduled Event, a future edition, or a similar Event offered by the Organizer, without paying a new fee or by paying only any applicable difference.
5.6 If the participant cannot or does not wish to opt for carrying forward the fee as provided in Section 5.5, the participation fee may be refunded upon written request sent to neurocare@aspro.com.ro, specifying:
first and last name;

• Event name;

• payment date;

• amount paid.

Refunds are processed via the same payment method unless otherwise agreed. Refunds are completed within 30 calendar days. Banking commissions related to refunds are borne by the beneficiary and deducted from the refunded amount.
Refund percentages:

• 100% if requested at least 30 days before the Event;

• 50% if requested at least 20 days before;

• 25% if requested at least 15 days before;

• 0% if requested less than 15 days before the Event.

Refunds are not granted if:

• the fee was covered by sponsorship or voucher/prize;

• the participant did not attend physically or online;

• changes occur in the Event program not attributable to the Organizer.

Full refunds are granted only in the event of Event cancellation or rescheduling by the Organizer.
5.8 Banking commissions related to the refund of participation fees shall be borne by the refund beneficiary and deducted from the refunded amount where banking procedures do not allow such commissions to be charged exclusively to the beneficiary.

6. Registration Confirmation
Following registration completion, you will receive confirmation by email. You are responsible for ensuring the correctness of the email address provided and for checking spam folders.
Registered participants will receive essential Event-related information by email and may unsubscribe from notifications at any time.

7. Privacy and Data Protection

8. Intellectual Property
All intellectual property rights related to the Event, Event content and distributed materials are owned by Aspro Advertising S.R.L. or respective exhibitors or speakers. Unauthorized use is prohibited and sanctioned by law.

 

9. Disclaimer of Warranties and Limitation of Liability
9.1 Aspro Advertising S.R.L. provides no warranties regarding any aspect of the Event. The Event is provided “as is”.
9.2 Except as required by law, Aspro Advertising S.R.L. and its affiliates shall not be liable for any direct or indirect damages arising from the Event.
9.3 The total maximum liability of Aspro Advertising S.R.L. shall be limited to the participation fee paid.
9.4 The Organizer shall not be liable for acts, activities, obligations or non-compliance attributable to independent third parties or to the owner or administrator of the Event venue, unless directly attributable to its own fault.
9.5 The Event may be influenced by external factors beyond the Organizer’s reasonable control.
9.6 The Organizer is not required to obtain permits, authorizations or licenses legally incumbent upon the Event venue owner, administrator or other service providers.
9.7 Any third party failing to comply with applicable legal or contractual obligations shall be liable for its own acts. The Organizer may reasonably assist remediation efforts without incurring liability.

10. Miscellaneous Failure to exercise any right does not constitute a waiver. This Agreement is governed by Romanian law and subject to the exclusive jurisdiction of the courts of Bucharest.

11. Additional Terms
Exhibitors are subject to separate exhibition terms unless otherwise agreed.

12. Entire Agreement
These Terms and Conditions constitute the entire agreement between the Organizer and the Participant.

 

13. Governing Law and Jurisdiction
These Terms and Conditions are governed by Romanian law and subject to the exclusive jurisdiction of the courts of Bucharest, Romania.
