Presentation Formatting Guide

  • PowerPoint is the available presentation software in all session rooms.

  • No other devices, personal computers, etc., are allowed, except those provided in the session rooms for presentations.

  • The PowerPoint management and distribution system is optimized for MS PowerPoint 2016 (Office 2016) and Adobe Acrobat files (“*.pdf”). DVD Movies are not supported.

  • The acceptable data storage medium is USB Memory (Stick). All necessary files – including video files (!) – must be stored on the data medium. Presentations can also be retrieved from the speakers’ laptops in the Speaker Preparation Room. Please ensure there is enough time for conversion.

  • Preferred formats for embedded movies: “.mp4” and “.wmv”. Any other format may work or might need to be converted to an optimized format (which may take some time!).

  • Fonts used in presentations must be Latin-based fonts. If you require special fonts, these should be stored as “embedded fonts” with the presentation. (File → Save As “presentation name” and under “Tools” → Save Options, check the “Embed TrueType fonts” box and select “Embed all characters”). When using mathematical symbols, please use those available under Latin fonts (Unicode or DOS: Western Europe).

  • Presentations should be saved as “.ppt”, “.pptx” (= PowerPoint) or “.pps”, “.ppsx” (= PowerPoint Slideshow). The file and movies may be separate files on the data storage medium (if not embedded). All computers and projectors will be set up and optimized for a 16:9 aspect ratio.

Please follow the specifications above to ensure a well-prepared presentation!
